We are recruiting for an administrator to provide administrative, secretarial, and first line support for the Environmental Services Team, often being the first point of contact for contract information, enquiries, and complaints.

Duties

  • Supporting the Environmental Services Team ensuring the smooth running of day-to-day activities.
  • Act as primary point of contact for post, telephone calls, emails, and queries on the Environmental Services Managers behalf, bringing relevant matters of importance to attention.
  • Act as a filter for issues or problems addressed to the Environmental Services Team.
  • Arrange appointments and mange diaries so that time is utilised effectively, which includes coordinating travel arrangements when required.
  • Respond to enquiries from contractors and external stakeholders regarding the environmental service contracts.
  • Assist with the monitoring, controlling and reporting of contract budgets.
  • Respond to enquiries and liaise on the provision of services such as Pest Control, Recycling, Bulk Clearance and Street Line.
  • Manage and monitor requests coming into the team, responding to incoming communications as required.
  • Use office IT systems to devise, maintain, and regularly review an effective filing and retrieval system so that information is easily accessed and accurately stored in accordance with data protection and confidentiality principles.
  • Organise and service meetings, away-days, and other events as directed. This includes the preparation and distribution of minutes, preparing rooms and providing refreshments when required
  • Compose and type documents (reports, letters, schedules etc.) within the required timescales.
  • Work with the Complaints Team to ensure all complaints and Councillor enquiries relevant to the Environmental Services Team are managed effectively and within timescales.
  • Prepare, copy, and distribute documents as required.
  • Maintain, develop, and manage databases/spreadsheets as required.
  • Maintain the Environmental Services team's profile on the intranet, acting as a central point for adding, removing, or updating information in conjunction with the communications team.
  • Liaise with other officers, departments and external agencies in the collection and dissemination of information, reports etc, advising, fact finding.
  • Deliver a range of specialised service support tasks, advising and assisting colleagues on process, to maximise service quality and efficiency.
  • Work collaboratively with colleagues in other teams to improve service effectiveness, identifying any areas for improvement.
  • Attend occasional evening meetings as required
  • Any other duties relevant to the nature, scope and level of the role
